Summary

Roles in Eurekos define what users can see and manage across the platform. Preconfigured roles assign different levels of access to content, administration, reporting, and configuration features, ensuring secure governance and clear responsibility boundaries.

Role descriptions

The Eurekos LMS includes preconfigured roles that grant different levels of permission to view and manage learning content and platform settings. This article provides a brief overview of each role’s purpose and access level – ordered by permission hierarchy – followed by a high-level, feature-based permissions table. 

Global Administrator (GLA)

This role manages platform configuration and organization management at the highest level, with full viewing and editing access to all users and content across organizations. It is available only on platforms with an extended organizational filter, providing global access for platform-critical configuration and adding an additional administrative tier that also applies to course content and multimedia archives.

⚠️ This is enabled by Eurekos Service Desk under Settings → General. Upon activation the “Organizational filter” is activated or deactivated by yourself. Eurekos Service Desk designates the first Global Administrator in collaboration with you.

Once enabled, the organizational filter also segregates course materials and multimedia archives by organization.

Platform Administrator (PLA)

When the extended organizational filter is not enabled, this role obtains similar rights to the Global Administrator, i.e. the maximum level of access. In other cases, it assumes the highest admin authority within a specific organization with full rights to creating, editing, and deleting resources, as well as changing settings and operations specific to its organization.

Support (SPT)

This role is designed for larger organizations that require extended support for content management and user administration, without involvement in broader platform configuration. The Support role has the same permissions as a Platform Administrator, except it does not have access to platform-wide Settings.

Course Administrator (COA)

The Course Administrator role revolves around the meticulous configuration of training routines within course administration. This role has in-depth access to all aspects of training routine configuration within courses – including user and certificate management, activity connections, and email automation rules. In addition, Course Administrators can create events and announcements related to the activities they are accountable for, and their Home Screen features a Reminders section.

Assistant(AST) Opt-in role

This custom role is similar to the Course Administrator one, though without access to Transactions. It is intended to manage both courses and user participation with access to functions such as Activities, Automation, Locations, Certificates, Events, and Announcements – plus a dedicated Reminders section on their Home Screen  and Automated email workflows for communication.

Advanced Instructor (AIN) Opt-in role

This custom role is highly specialized, assuming responsibility for their own activities and managing active courses therein. They get some course management ability within My Activities to assign training activities configured for self enrollment. Event access is confined to those they themselves have created. For these, they can mark attendance and mark a course as “Ready for invoice” in order to finalize its flow.

To enable: Contact Eurekos Service Desk to have this role enabled.

Instructor (INS)

This role revolves around content creation with the capacity to create, edit, and delete their own courses, and the content and assets therein (videos, playlists, H5P elements, etc.). In further, they can facilitate, manage events and announcements for activities under their responsibility, as well as access statistics and manage some aspects of users within their own activities.

External Instructor (XIN) Opt-in role

This custom role mainly involves course management, but with limited access that is centered around managing courses within the organization it belongs to. While they can be set as responsible for activities and can access certain reports, they have no access to Course administration, Users list, Reports, or Organizations.

Manager (MGR)

This role is meant to manage the members of a specific organization or sub-organization. Managers can monitor staff progress on trainings and enroll them in courses, as well as track certificates with impending expiration dates. In further, they can download reports with training statistics and user transcripts for documentation and follow-up purposes. Managers can be external users like partners or resellers, delegating responsibility for specific audience management to aid in decentralization.

Immediate Manager (IMR)

This role has a behavior similar to the Manager role, displaying statistics on training progress and certification status for users they are assigned to as Immediate Manager. They can also make purchases on behalf of their staff. This role is commonly used alongside user provisioning systems, where the “immediate manager” relationship is automatically synchronized, reducing manual setup and simplifying administration.

Auditor(AUD)

This role serves as an overseer of individual learning outcomes within an organization. It is often assigned to internal or external auditors for compliance reviews and provides access to Reports and Analytics with comprehensive data visibility, while excluding content creation and most other platform features. Users with this role can still be enrolled in courses and participate as standard learners.

Participant (PTC)

This role pertains to registered platform end-users who engage as learners in training activities – whether enrolled by Managers or self-enrolled from the catalog. Participants have their viewing rights limited to their own learning paths and progress and cannot create or edit content, nor access any global platform settings.

Roles & Rights Table

This table summarizes the key viewing and editing permissions for the standard, predefined Eurekos roles across the most commonly used features. For additional examples and detailed descriptions, see the in-depth articles on roles, their home pages, and the relevant feature documentation.

Organizational restrictions: Relevant roles and features in Eurekos respect organizational restrictions by design. This is the default behavior. For example, if an organization is applied to John, who has the Course Administrator role, the Activities list will only show training activities with no organizational relation AND the specific organizational tag(s) John is allowed to access. The same principle applies across Course Administration and other organization-aware features.

Settings is the exception: access is granted to Platform/Global Administrators as an all-or-nothing permission. There is no organization-level segmentation within Settings, to support streamlined global administration.
