Change or Leave Training - Article
Summary
Participants sometimes need another language version, a different delivery date or an alternative training choice. The available change actions support those needs within the configured enrollment relationships and make the resulting participation record explicit.
Learn mode can provide participant actions for changing a language version, moving to another scheduled delivery, switching an Existing Training selection, or cancelling participation. These actions appear only when the activity, enrollment route, permissions, and alternatives support them.
Use this article to:
- Distinguish changing language, dates, and training
- Understand when re-enrollment and progress transfer are possible
- Understand what cancelling participation records
- Recognize notification and schedule consequences
- Troubleshoot a missing or disabled participant action
Actions are conditional
The More menu or another contextual action area can expose participant-managed changes. The platform does not show an action merely because an administrator knows an alternative exists. It evaluates whether the current participant can use the route safely.
| Action | Purpose | Primary dependency |
|---|---|---|
| Change language | Move to a linked language version of the training. | A multilingual relationship and an available enrollment route for the selected language. |
| Change dates | Move from one scheduled delivery to another compatible activity. | Re-enrollment enabled, self-enrollment allowed, and a compatible alternative schedule and structure. |
| Change training | Replace the linked activity selected for an Existing Training module. | An available alternative activity and a compatible Existing Training configuration. |
| Cancel participation | End the participant’s active signup from Learn mode. | Participant cancellation enabled and permitted for the signup and activity. |

Open More to inspect the actions offered for the current training. If the needed alternative is absent, contact the training administrator rather than cancelling first and hoping the desired language or date will become available afterward. In a Learning Path, return to its overview before looking for the activity-level cancellation action.
Change language
Change language is available when the training is part of a linked multilingual structure and another language version is available to the participant. Selecting a language follows that version’s enrollment or opening route; it is not an on-the-fly translation of the current page.
The language version can contain different text, media, H5P, SCORM, schedules, or module structures. Verify that linked versions remain equivalent enough for the intended learning and reporting purpose. Progress should not be assumed to transfer between materially different structures unless the configured relationship supports it.
Change dates
Change dates supports moving to another scheduled delivery of compatible training. The action depends on re-enrollment being enabled and the participant having an applicable self-enrollment route. The alternative activity must have a structure and schedule that the change process can use.
The previous participation is replaced by the new enrollment rather than remaining as two simultaneous active choices. Review capacity, waiting lists, approval, payment, reserved seats, deadlines, and notifications before relying on participant-managed schedule changes.
Change training in an Existing Training module
An Existing Training module can allow the participant to choose or change the linked activity. The prior linked participation is cancelled and the participant is enrolled in the selected alternative.
Progress can transfer only when the structures are compatible enough for the platform to match the learning relationship. If no applicable alternative exists, the action can remain visible but disabled with an explanation such as No alternative trainings available.
Cancel participation
When participant cancellation is enabled, Cancel participation changes the signup to Cancelled. It does not delete the historical relationship or erase the administrative record. Configured system emails can notify the participant and relevant operational roles.
Cancellation can release a seat or affect a linked activity, deadline, certificate journey, reminder, or commercial relationship. Communicate refund and re-enrollment policy separately where commerce is involved; the Learn mode action is the platform record change, not a complete policy explanation.
Understand progress transfer
Do not promise that progress always follows a participant to another language, date, or training. Transfer depends on the specific change route and compatible structures. A page title that looks similar is not sufficient evidence that the underlying learning objects and completion rules match.
- Confirm whether the alternative uses the same Course or equivalent module structure.
- Check Event attendance and Assignment assessment separately; these are delivery-specific evidence.
- Check adaptive criteria and restrictions in the new activity.
- Verify certificate and mandatory deadlines after the change.
- Test the participant-facing result before enabling the route for a large cohort.
Follow the correct change route
For a linked language version, choose the available language and follow Enroll. The route can open checkout, or enroll directly when the training is free and Simple enrollment applies. Changing the platform interface language or selecting video subtitles is a different action; neither creates a signup in another linked language version.
For Change dates, both the current and alternative activities need the relevant self-enrollment route and the re-enrollment configuration. Course-based alternatives use compatible Course structures and the applicable schedule level. Event and Assignment alternatives also rely on their configured links and supported structure. A second activity with a similar title is not sufficient to make it a valid alternative.
For Change training within Existing Training, review the available alternative, its dates and its requirements before confirming. The old participation is cancelled and the new one is enrolled through that change route. Where the new activity has the same module structure, the documented progress transfer can apply; do not promise identical results for a different structure or delivery-specific attendance.
In a Learning Path, participant cancellation is available from the overview’s More action where enabled. Use Back to modules to return there if necessary. Leaving a page, closing Learn mode or leaving a Community does not perform the same signup cancellation.
Example: choose between a display preference and another delivery
A participant wants to read subtitles in another language while keeping their current workshop booking. Changing available video subtitles is a viewing choice; Change language is a route to another linked training version and its enrollment conditions. Use the viewing control when that meets the need, rather than creating a different learning relationship just to change how one video is presented.
If the participant instead cannot attend their booked workshop, review Change dates and the compatible alternatives where that action is available. Compare the new schedule, enrollment conditions and remaining requirements before confirming. Do not assume that a familiar title guarantees the same structure, that assessment or attendance will carry over, or that a paid booking change automatically provides a refund.
After a change, verify the current training relationship, dates and progress in the platform. If the intended alternative is unavailable or the resulting record is unclear, contact the training administrator before cancelling another signup or making a separate purchase. An email or an external calendar entry can help communication, but neither substitutes for the current participation record.
Notifications and records
A change can trigger enrollment, cancellation, reactivation, schedule, or manager notifications depending on configuration. The absence of an email does not mean the record change failed, and an email is not the authoritative status. Confirm the signup and linked activity relationship in the platform.
When the organization uses integrations, reporting, or external calendar processes, verify how replaced and cancelled signups are represented outside Eurekos.
Troubleshooting
| Problem | What to check |
|---|---|
| Change language is missing | Confirm linked language versions exist, are available to the participant, and provide an applicable enrollment route. |
| Change dates is missing | Confirm re-enrollment and self-enrollment are enabled and that a compatible scheduled alternative exists. |
| Change training is disabled | Check whether an alternative Existing Training activity is currently available. A disabled action can correctly indicate that no alternative exists. |
| Progress did not transfer | Compare the old and new structures, module relationships, and learning objects. Attendance and assessment evidence may be delivery-specific. |
| Cancellation did not send an email | Check the relevant system email configuration and recipients. Verify the signup status independently of email delivery. |
| The participant cannot rejoin after cancellation | Check activity status, schedule, capacity, approval, payment, and whether self-enrollment or reactivation is permitted. |
FAQ
-
Why can I not change to another scheduled date?
The activity must allow re-enrollment and self-enrollment, and a compatible scheduled alternative must be available. Capacity, approval, payment, or schedule can also affect the route.
-
Does Change language translate the current Course instantly?
No. It opens or enrolls the participant in a linked language version. That version can contain separately maintained text, media, modules, and schedules.
-
Will my progress move when I change training?
Only where the supported change route and compatible structures allow transfer. Attendance, Assignment assessment, and materially different learning objects should not be assumed to transfer.
-
Does cancelling participation delete the record?
No. The signup changes to Cancelled and the historical relationship remains available for administration and reporting.
-
Why did cancellation not send an email?
Email depends on the relevant system email configuration and recipients. Verify the signup status in the platform independently of email delivery.
